Sage 200 Connected Mode Information

Article Summary


This article explains the detailed breakdown of what information sycs and the rules that apply with the Data Connector for Sage 100/200 (previously called Sage Evolution).

Once your Data Connector has been successfully configured, Sales.Live will have the default settings for syncing configured.

The default settings below include the default syncing time for each element of data that we sync.

It's important to be able to sync different types of data on different frequencies as not all data changes at the same frequency.

 You can change the sync time on each element to suit your requirements.

Note
  1. You can instigate a manual sync for any element by clicking the Save Setting and Sync Now button next to the item.
  2. This is preferred the first time you upload your data to Sales.Live.
  3. WARNING: You may have to wait 5 - 10 minutes before seeing data appear in your Sales.Live system.


The following Customer information will sync from Sage 200 (Evolution) to Sales.Live.


The default Sync Time is Daily.

Customer Information (including Custom Fields) 

Customer information will change frequently in some cases, and so the default has been set to Daily.

Important: Only Active Customers in Active Customer Groupsfrom Sage 200 (Evolution) will sync across into Sales.Live.

If a Customer is OnHold in Sage 200 (Evolution), then the following will occur: 

  1. An Order will still be able to be taken in Sales.Live, but it will not Sync through to Sage 200 (Evolution). On the Quick Order and Cart Screen, a Stop Order Message is displayed next to the Customer field and when submitting the order. The user must have the Stop Order taken off within Sage 200 (Evolution), and then sync the order back through to Sage 200 (Evolution) from the Sales Order Enquiry screen, where you can see the status of each order.
  1. An Invoice can still be entered in Sales.Live  if the customer has Stop Invoice selected in Sage 200 (Evolution). However it will not sync to Sage 200 (Evolution). A Stop Invoice Message is displayed next to the Customer field and when submitting the invoice. The user must have the Stop Invoice taken off within Sage 200 (Evolution), and then sync the invoice back through to Sage 200 (Evolution) from the Sales Invoice Enquiry screen, where you can see the status of each Invoice.

Customer Groups

Customer Groups are synced as part of the Customer Information sync and come from the Customer Group Field in Sage 200 (Evolution).
NB: if a group is made inactive the associated customers will no longer synch to Sales .Live

 

Customer Areas

Customer Areas are synced as part of the Customer Information Sync and come from the Territory Field in Sage 200 (Evolution).

 

Customer Delivery Addresses

Customer Delivery Addresses are synced as part of the Customer Information Sync and come from the Delivery Address fields in Sage 200 (Evolution).

 

Customer Templates

Sage 200 (Evolution) has Sales Templates as a feature. These Templates will be brought into Customer Templates in Sales.Live so that they can be used to quickly load the items into the cart screen to be used on a Quote, Order or Invoice. Customer Templates are synced as part of the Customer Information Sync and come from the Customer Templates setup in Sage 200 (Evolution).

 

Customer Order History

Customer Order History is synced as part of the Customer Information Sync and comes from Sage 200 (Evolution). It display's the last 10 Sales Orders Date, Reference Number, Description and Amount Inc Tax. 

 

Customer Sales History

Customer Sales History is synced are synced as part of the Customer Information Sync and comes from Sage 200 (Evolution). It is represented as a graph of total income from the Customer on a month by month basis for the last 12 months. 

 

Customer Notes

Customer Notes are synced as part of the Customer Information Sync using the Notes feature that is on the Customer record (at the top of the Customer Edit Screen).

You cannot enter Customer Notes in Sales.Live and have them sync back to Sage 200 (Evolution). They currently sync from Sage 200 (Evolution) to Sales.Live

 

Contacts

Contacts are synced as part of the Customer Information Sync and will come from the Contacts Tab found under each Customer in Sage 200 (Evolution). There can be multiple contacts per Customer. 

 

 

Sage 200 (Evolution) Inventory Connection Information

The following Inventory information will sync from Sage 200 (Evolution). The default Sync Time is  Daily.

 

Inventory Items (including Custom Fields)

Inventory Items sync from Sage 200 (Evolution) Products. This does not include Inventory Item Levels (Qty's Available) which you can read about further down in this support article; instead, this is the Inventory Item information stored against Products within Sage 200 (Evolution).

If you are Adding or Editing  new Inventory frequently and need to change the default sync time this can be done.

Only Active Inventory Items from Sage 200 (Evolution) will sync across into Sales.Live.

Warning: You also may not want to sync all your Inventory Items (Products) from Sage 200 (Evolution) to Sales.Live.

You can Limit which Inventory Items sync to Sales.Live, by excluding specific Inventory Groups and the items contained in them will not sync. This way you can control which Inventory Items (Products in Sage 200 (Evolution)) are uploaded to Sales.Live.  


Inventory Groups
Inventory Groups will sync as part of the Inventory Information Sync and come from the Product Groups list in Sage 200 (Evolution). 


Warehouses
Inventory Warehouses will sync as part of the Inventory Information Sync and come from the Inventory Locations list in Sage 200 (Evolution). 


Price Levels
Price Levels will sync as part of the Inventory Information Sync and will come from the Price Scales setup under Lookups - Inventory in Sage 200 (Evolution). 


Inventory Notes
Inventory Notes will sync as part of the Inventory Information Sync and come from the Sage 200 (Evolution) using the Notes feature that is on the Product record (at the top of the Product Edit Screen).


Note: You cannot enter Inventory Notes in Sales.Live and have them sync back to Sage 200 (Evolution). They currently sync from Sage 200 (Evolution) to Sales.Live. 

 

Inventory Prices – Default Sync Time is Twice Daily
Inventory Prices for all Price Levels will sync from Sage 200 (Evolution).


Special Pricing
Special Pricing will sync with the Inventory Prices Sync and come from the Customer Special Pricing setup in Sage 200 (Evolution). 

 

Alternate Inventory
Alternate Inventory will sync as part of the Inventory Information Sync and come from the Alternate Product Tab under each Product in Sage 200 (Evolution).


 Complimentary Products
Complimentary Products do not exist in Sage 200 (Evolution)

 


Inventory Levels – Default Sync Time - Hourly (and then in real time for any items submitted on an Order or Invoice). 

Inventory Levels are the most frequent data that needs to sync to Sales.Live and need to be accurate.

Inventory Levels sync per Warehouse  and as a default all items for all locations will sync on default every hour. The Qty Available  from Sage 200 (Evolution) is used as the Qty synced. 

In addition to this sync, when you submit an Order or Invoice through Sales.Live, if you have the option turned on to process transactions on sync,  it will re sync the Free Stock Qty for the Inventory Items that are on the Order or Invoice in real time, keeping the items up to date with the latest Free Stock Qty. 

Note: that if you do not have the option to process transactions set the Sales.Live App Data screen, then the Qty of an Item in Sales.Live will only changed when that order or invoice is processed in Sage 200 (Evolution), and the free stock quantity syncs again.

 

Inventory Images - Default Sync Time - Weekly

Inventory Images will sync from the Sage 200 (Evolution) Pictures Feature, which is can be located when you edit a Product in the Top Menu Bar.

 

Sage 200 (Evolution) General Connection Information


Tax Codes - Defaut Sync Time - Weekly

Tax Codes will sync from the Sage 200 (Evolution) Tax Code List. Tax codes will rarely change.

 

Set Default Tax Code - 0 Hours (Never Automatically Sync)

The default tax code will not automatically sync from Sage 200 (Evolution) and should be set by the Administrator under the Settings - General Section in Sales.Live. 

 

Display Currency - The display currency will always default to the $ symbol.

This currency can be changed under the Sales.Live Setup, under the App Setting Button.
