The Action List within Sales.Live

Using the Action List

Using the Action List you can add Notes, Tasks and Appointments in Forecast.Live and Sales.Live.

This guide will show you how you can:

  1. Create Action List items,
  2. Relate them to Customers or Inventory
  3. And display them in Table or Kanban view.

Adding your first Action Item

The Action List begins in ‘Kanban’ style, showing your items as cards in columns according to their status.

In this view you can add an action item by choosing:

  1. Add Action’ in the top menu bar 
    or
  2. Add New’ below any of the columns


Then choose the type of Action and complete the rest of the form:


NB if you choose Task or Phone Call you’ll also see these fields:


The entry fields are described below.


Entry fields on Action Items

Type: Choose what type of Action you'd like to take
Detail: A description of the action. You can type as much text as you wish, the first 3 lines will be displayed on the card
Customer:  Enter part of the name to search. Once linked in this way, an Action can be seen from that Customer’s Details screen (see Customer Details Tab)
Status: Set to Not Started, In Progress or Completed as appropriate.

Note:  you can also change the status of an Action item by dragging it to the appropriate column in Kanban view

Product:  Enter part of the name to search. Once linked in this way, an Action can be seen from that Product’s Details screen (see Inventory Details button)
Due Date: You can key in the date in the form dd/mm/yyyy or choose from the pop-up calendar:



Time:  Enter the time as hh:mm:ss (e.g. 10:15:00 for 10:15 am) or click the clock icon and scroll through:



Linking an Action to a Customer or a Product

Customers and Products have a tab ‘Action List’ which shows the Actions which have been linked to them:


This link is also visible on the Action item itself:




You link Action items to Customers and / or Products using these fields on the Action Item:






Editing an Action Item

Click on the card and the entry screen will open up.

Change any fields and can even change your Action Item type – e.g. change a Note to a Task.


Using the Action List ‘List View’

You can switch to the List View using this icon:





You can search within this list by keying into any column in the filter row:



The order of the columns can be changed by dragging the heading left or right

The list can also be sorted by clicking on any column heading.

Some other options in the List View include:

  1. Customise Table
    Here you can choose which columns are shown and the order of the columns, change the sort order and perform advanced filtering
  2. Toggle Archived
    To show Actions which have been moved to Archive
  3. Refresh Data
    To re-load the grid (same as using your browser’s refresh function)

Kanban by Type

To show your Actions in columns according to the type of item (Note, Task, Appointment, Phone Call) just click this icon:


Apart from the column groups, the Kanban by Type view operates the same way as the Kanban by Status view.
